Step 1: review your current contract

Check your notice period for cancellation, any early termination penalties, and what happens to keys or access codes at the end of the relationship. Send your cancellation notice in writing and keep a copy.

Step 2: choose your new provider before you cancel

There should be no gap in cleaning service. Source and select your new provider while still under your existing contract, so the new company's start date aligns with the end of the old one.

Step 3: conduct a thorough walkthrough with the new provider

Walk your entire facility, pointing out every room and space included in the scope, any areas that need special attention, restricted areas, and building access procedures.

Step 4: communicate the change to your team

Let your office manager and anyone who interfaces with cleaning staff know that the company is changing, what the new schedule is, and who to contact with feedback.

Step 5: evaluate carefully in the first weeks

Do walkthroughs weekly for the first month or so. Note any missed tasks and communicate them promptly — establishing the standard early shapes the service quality you'll receive long-term.

Step 6: formally end the prior relationship

Confirm in writing that the prior contract is terminated, retrieve all keys and access codes, and ensure any outstanding invoices are settled.
