Getting a commercial cleaning quote is easy. Getting a good one takes a bit of preparation. The businesses that consistently pay fair prices for excellent service share a few common habits — and they all happen before the cleaning company walks through the door.
Know your square footage
This sounds obvious, but many businesses give rough estimates. Cleaners price by the foot — the more accurate your number, the more accurate the quote. Walk the space, measure common areas, and know which spaces are included vs. excluded (storage rooms, server rooms, etc.).
Define your scope before the walkthrough
Before inviting providers in for a quote, write down exactly what you need: which rooms, which tasks, how often, and what the non-negotiables are. This prevents providers from quoting a stripped-down service and prevents you from accepting something that won't actually keep your space clean.
Get more than one quote
One quote gives you a number. Two or three give you a market. Middle-range quotes are usually the sweet spot — the cheapest bids often involve underqualified staff or hidden fees, while the most expensive aren't necessarily better.
Ask what's not included
Always ask providers to tell you what falls outside their standard quote. This surfaces hidden costs before you sign anything, not after.
Request references from similar businesses
A cleaning company that excels at retail spaces may not be the right fit for a dental clinic. Ask for references from businesses with a similar size and type to yours.
Negotiate strategically
- Offer a longer contract in exchange for a locked-in rate
- Ask if paying quarterly or annually reduces the monthly cost
- Bundle services (restroom supplies, carpet cleaning) for a package discount
